Responsibilities:

  • Performs a variety of administrative tasks to support Branch Manager and other key managers per instruction from Branch Manager.
  • Manage the calendar for Branch Manager, travel arrangements, timely processing and submission of monthly expenses for Branch Manager, ensuring adherence to policy at all times.
  • Handle phone enquiries in a professional manner, reply to or redirect external and internal queries
  • Prepare letters, correspondence, reports and memoranda from written copy or from knowledge of company policy or procedures. Proofs materials for errors and ensures layout is in line with the bank’s format.
  • Office physical access management for travelling managers and visitors from overseas
  • Assist Branch Manager in preparing conference and presentation for business initiatives, projects, committees and working groups
  • Provide support in various Business Management Activities as required, such as event planning Information Collation and Management Report Preparation
  • Schedules and co-ordinates meetings and facilities. Manages calendar of designated individuals.
  • Organizes meetings when required including distributing materials, arranging for refreshments, and transcribing minutes.
  • Supports relevant P2P process.
  • Assists with routine correspondence, order supplies, etc.
  • Assist various regular report preparation on a timely and accuracy basis.
  • Assists other administrative duties and ad hoc projects as assigned.
  • General document filing.

Requirements:

  • Minimum 5 years of secretarial experience from multinational companies, preferably in Financial Institutions
  • Ability to work with people from different countries, regions and time zones in a fast-paced environment
  • Experience in event planning coupled with independent thinking and foresight
  • Ability to multi-task and prioritize with strong problem solving skills
  • Can adapt to change, perform under pressure, work independently and proactively with minimal oversight
  • Use good judgement in confidential situations and proven experience interacting with senior management
  • Meticulous, detail-minded, with good communications and coordination skills
  • Proficiency with Microsoft Office applications, MS Outlook, Word, Excel and PowerPoint
  • Fluency in written and verbal English and Japanese
